Position Summary
This position is based at our corporate office in Reno, NV and reports to the Director of Communications. It is often the first contact for visitors and customers of Jensen Precast. The selected candidate will answer inquiries and obtain information for customers, visitors, and other interested parties. He/she will provide information regarding activities conducted at the establishment, location of departments, offices, and employees within the organization. Maintains the highest level of confidentiality at all times.
Principle Accountabilities
Fields and transfers incoming calls, provides information to callers, and may schedule appointments.
Greets visitors entering our office, determines nature and purpose of visit, and directs or escorts them to specific destinations. Provides information about the business such as location of departments or offices, employees within the organization, or services provided.
Maintains conference room calendars.
Collects, sorts, distributes, and prepares mail, messages, and courier deliveries.
Takes orders for supplies or materials and sends them to the proper departments to be filled.
Performs administrative support tasks such as proofreading and transcribing handwritten documents.
Operates copy machine and copies for distribution. Files and maintains records.
Performs duties such as taking care of plants and straightening magazines to maintain lobby or reception area. Coordinates the organization and cleanliness of mail room counter tops and shelves.
Qualifications
What We are Looking For
The ideal candidate will possess demonstrated administrative experience. Other desired qualifications include:
A self-starter attitude, with the ability to work effectively with customers, suppliers, and co-workers.
Proficient with Microsoft Office products (e.g., Outlook, Excel, Word, PowerPoint).
Detail oriented.
A willingness to ask questions when in doubt of what to do.
Well-organized and able to shift from one project to another.
Comfortable with being customer-facing and interacting with all levels of the organization.
A strong sense of urgency with the ability to see projects to completion on a timely basis.
